Definitions

In these Terms & Conditions "ACEM" means the Australasian College for Emergency Medicine.


Payment Conditions

Full payment is required at the time of registration. Registration is not confirmed until payment is received. 

Fees include applicable GST (10% Australia / 15% New Zealand). Tax invoices will be issued. 

Accepted methods of payment: Visa, MasterCard, AMEX. 

Non-payment or non-attendance will be taken as a cancellation on the day of the event and will incur a 100% cancellation fee.  

Your payment is processed securely via Stripe. Stripe protects your data using industry-leading encryption and security standards.

ACEM does not store or handle your credit card details, which are processed entirely through Stripe’s secure servers.


Cancellations by Delegates

All cancellations and amendments must be sent in writing via email to ACEM Events.

  • Cancellations received up to 60 days prior to the event will receive a full refund, less a $50 administration fee.
  • Cancellations received between 59 and 31 days prior to the event will receive a 50% refund.
  • No refunds will be given 30 days prior to the event.

As an alternative to cancellation, your registration may be transferred to another person without penalty.


Cancellation or Changes by ACEM

ACEM reserves the right to cancel, postpone, or modify the event.

  • If cancelled: Full refund of registration fees (excluding third-party costs such as bank or booking fees where applicable)
  • If postponed: Registrations will be transferred to the new date
  • If unable to attend, a full refund (less $50 admin fee) is available if requested within 30 days of notification
  • If format/location changes: ACEM will provide reasonable notice and options, which may include transfer or partial refund where appropriate

ACEM is not responsible for travel, accommodation, or other external costs incurred by delegates.

All details are correct at the time of publication. ACEM reserves the right to change the program and social functions at any time without notice.


Force Majeure

ACEM is not liable for failure or delay in delivering the event due to events beyond reasonable control, including but not limited to natural disasters, public health emergencies, war, terrorism, government restrictions, or infrastructure/technology failures.

Where possible, ACEM will provide alternative arrangements such as rescheduling or virtual delivery.


Behaviour

ACEM reserve the right to deny entry and/or terminate the registration of any person who demonstrates behaviour that is deemed to be inappropriate and/or a risk to others.


Social Functions

The event reserves the right to cancel or vary social functions if minimum numbers are not reached.

Due to commitments to catering, we cannot refund social functions and additional ticket cancellations less than 14 days prior to the event.


Accommodation and Travel

Delegates are responsible for their own travel and accommodation arrangements, including cancellations and associated costs.


Insurance

Registration fees do not include insurance of any kind. Participants are advised to take out personal insurance, including cover for travel, accommodation and personal possessions. ACEM does not cover individuals against the cancellations of bookings for any reason including cancellation or postponement of the event or for theft or damage to belongings.


Liability

To the extent permitted by law:

  • ACEM’s liability is limited to the amount paid for registration.
  • ACEM is not liable for indirect or consequential losses, including loss of income, travel costs, or accommodation expenses.

Nothing in these terms excludes, restricts, or modifies rights under applicable consumer laws, including the Australian Consumer Law or New Zealand Consumer Guarantees Act.


Photography & Videography

While attending the event, you may be photographed or recorded. By registering for the event, you agree to these photographs and footage being used for promotional purposes. If you wish not to be photographed or recorded, please let the ACEM Events Team know.


Privacy Statement

During the process of registration, personal information is collected for event administration and handled in accordance with applicable privacy laws, including the Privacy Act 1988 and Privacy Act 2020.

Details may be shared with event partners for event-related purposes unless you opt out. If you do not wish your details to be shared, please contact the ACEM Events Team via email events@acem.org.au.
